AD HOC COMMITTEES
1. General information
Ad Hoc committees are committees appointed by the president to accomplish
a specific task.
2. Currently active committees
a. Program committees for annual conferences
1) Charge

2) Appointment of Chair and Committee
In consultation with the Board, the president appoints the program chair.
In consultation with the president, the chair appoints
1. a committee of four additional members, including the chair of the
succeeding year's program committee, to evaluate papers and other proposals
excluding lecture-recitals and performances;
2. A committee consisting of a chair and two additional members to evaluate
lecture-recital and other performance proposals. The performance committee
chair will consult with and report to the program committee chair, who
assumes responsibility for the coordination of the two committees. The
committees should be formed ideally at least three years in advance of
the conference and shall be representative of the various components of
the Society (e.g. specialty, age, gender, ethnicity, geographic region).
The program committee works closely with the Conference Manager, the Local
Arrangements chair, and is guided by the Conference Handbook with regard
to procedures and duties.
2) Funding:
Funds allowing the Program Committee to meet will be a conference budget
item. Current amount: $1,500.
b. Local arrangement committees for annual conferences
1) Charge
A Local Arrangements Committee (LAC) exists for each of the Society's
National Conferences. The LAC works with the Conference manager on all
aspects of planning and running its particular conference -- site and
date selection, coordination with Program Committee, registration, special
events, budget, etc. [See Conference Handbook.]
2) Appointment of Chair and Committee
Prior to the appointment of a LAC Chair, prospective chairs will need
to work closely with the Conference Site Selection Committee Chair and
Conference Manager during the invitation process (see Conference
Site Selection Committee). The Conference Manager will furnish prospective
LAC Chairs with a copy of the Society's Conference Handbook which contains
specifications for meeting rooms, lodging, performance space, etc.
The LAC chair needs to be someone with a strong aptitude
for organization and the ability to work with a variety of people both
within and outside the Society. He/she should have good institutional
support (clerical help, good telephone budget, good printing/photocopying
facilities, etc.) and enough flexibility in their employment duties to
allow countless hours to be spent on the Society's behalf.
The LAC chair, in consultation with the Society President, picks a committee
of three to five people to assist with the planning and execution of the
conference. Most of the LAC members should be geographically located near
the meeting site, although certain tasks can be delegated to distant members.
A Membership Committee liaison, identified by the committee's chair in
consultation with the Chair of the Local Arangements Committee, will be
appointed by the President by the time of the previosu conference. The
function of this liaison is to serve the needs of outreach. Additional
staffers (students, volunteers, etc.) will be needed at the time of the
conference, although these people are not necessarily involved in the
planning of the conference [see Conference Handbook]. It is not necessary
for the Board to approve the other members of the LAC. It likewise not
necessary for other members of the LAC to be members of the Society, although
non-members should be encouraged to join.
